Voice AI Case Study: How Our Venue Booked 2.5x More Tours From the Same Phone Calls

I own Gran Paraiso Gardens, a wedding venue in Miami. I'm also the founder of VenueAI. Everything we ship gets tested on our own venue first, with real couples and real revenue on the line.

This February, we turned on Voice AI to answer every inbound call to the venue. Then we measured everything for more than four months and compared it against the 90 days before launch.

This is exactly what happened. I'm including the methodology so you can judge the numbers yourself. And I'll say it upfront: this is one venue, our venue, published warts and all. No projections, no cherry-picking. Just what the data says.

The Problem: The Phone Was the Leak

Before Voice AI, only 15% of the people who called our venue had a real, live conversation with someone.

Read that again. Nearly 9 in 10 callers never reached a live person. Counting the ones who at least left a voicemail, only 44% of callers reached anything at all.

That wasn't because our team was bad. It was because they were absent. On tours. At events. Setting up for a Saturday wedding. Gone for the day. The phone rang while all of that was happening, and nobody was there to pick it up.

And voicemail is a graveyard. Most couples who hit a venue's voicemail don't leave a message. They hang up and dial the next venue on their list. The couple calling at 9pm on a Sunday, credit card ready and a date in mind, got nothing from us.

The worst part is that this leak was invisible. It never showed up as a lost lead in any report. It showed up as a call that simply never happened.

What We Turned On

On February 23, 2026, Voice AI started answering every inbound call to Gran Paraiso Gardens. Instantly, 24/7, in a natural conversation.

It's not a phone tree. There's no "press 1 for sales." A couple calls, and a warm voice answers, asks about their event, and answers their questions about pricing, availability, and capacity straight from our venue's own knowledge base. It never guesses, and it never has to say "let me find out and call you back," the phrase that kills momentum on every sales call.

Then it does the thing that matters: it books the tour on the spot, sending the booking link while the couple is still on the line.

The couple who calls at 9pm on a Sunday now gets the same warm, immediate, on-brand conversation as the couple who calls at 11am on a Tuesday. No voicemail. No "we'll call you back." The Results

Four-plus months of live data. Here's what changed.

Before, only 15% of callers got a real-time conversation. After, roughly 90% do. That's not an incremental improvement. That's turning the lights on in a room that was dark 85% of the time.

Same phone number. Same marketing spend. Same volume of couples dialing in. We just stopped dropping them, and tours booked per call went up roughly 2.5x.

At our steady call volume, that's about 15 additional tours every month that used to vanish into voicemail.

What that's worth

You can run the math for your own venue. Even if we assume these recovered tours convert at half our normal tour-to-booking rate, since a caller rescued from voicemail isn't always as far along as a couple who researched us and booked deliberately, 15 extra tours a month still works out to 1 to 2 additional weddings booked per month.

At our $28K average package, that's $28K to $56K a month in bookings that used to ring out into nothing.

And one booked wedding pays for the system many times over. Everything after that is margin.

One more signal worth watching

There's an early trend in the data that I want to flag honestly. Once a caller actually connects, the AI-handled conversations are converting to tours at a higher rate than our old staff-answered calls did: 17.5% versus 13.8% per engaged call. The AI is patient, never rushed, always has the answer, and never forgets to send the booking link.

But I'll be straight with you: that specific lift is trending, not proven yet. The sample isn't big enough to call it statistically locked, so treat it as an early sign, not a headline. The headline numbers above don't have that problem.

Why It Works

Five things explain the jump.

  • Speed beats everything. A couple is most likely to book in the first minutes of excitement, right after they found your venue and picked up the phone. An instant answer catches them at peak intent. A callback three hours later catches them after they've already talked to three other venues.

  • It never sleeps and never steps away. Our old leak wasn't bad service. It was absence. Staff can't be at the desk and on a tour at the same time. The AI can. It closed the nights, weekends, and mid-event gaps that were pure loss before.

  • It always knows the answer. It answers from our venue's own knowledge base, so it never guesses on pricing or availability.

  • It closes in the moment. The booking link goes out during the call, while the couple is still on the line and still excited. No follow-up gap for the lead to go cold.

  • It scales our best day. Every caller gets the venue's A-game: warm, informed, on-brand, and focused on the one thing that matters, moving the couple toward a tour.

How We Measured

Case studies live or die on credibility, so we measured this conservatively. Here's exactly how.

  • Same venue, before and after. No cross-venue comparisons, no confounding variables. The only thing that changed was Voice AI.

  • Call volume held steady. About 6 calls a day before launch, about 6 after. The gains came from answering the calls, not from a marketing surge. Lead volume is a marketing effect and we excluded it from this story on purpose.

  • "Engaged call" is strictly defined. Pre-launch, it meant the caller reached staff or left a voicemail. Post-launch, it meant a real conversation with the AI lasting at least 30 seconds, with spam and quick hangups excluded. The comparison is apples to apples on genuine conversations.

  • Tours are counted from hard calendar events. A tour only counts if it landed on the venue's calendar within 30 days of the call, matched to the caller by phone number. No soft "expressed interest" counting.

  • 4+ months of mature data. 474 engaged AI conversations in the measured window, well past the threshold for a reliable read on the headline numbers.

Now the caveat, stated plainly: this is one venue, and it's ours. Two more venues are live on Voice AI today, but they don't yet have enough pre-launch baseline and mature data for an honest before/after. When that data matures, we'll publish the multi-venue follow-up. We'd rather share transparent single-venue pilot results now than sit on them for a year waiting for a bigger sample.

The Bottom Line

Same marketing. Same call volume. 2.5x more tours. All from answering the phone every single time.

The venue didn't get more leads. It stopped losing the ones it already had.

Here's the uncomfortable truth for every venue owner reading this: your team cannot answer every call. Nobody's can. They're running tours, working events, and living their lives. Every call that rings out is a couple who's already dialing your competitor.
